Overview
As of 1 January 2009 Records & Archives Services (RAS) are no longer accepting hard copy documents for storage. Instead, all documentation to do with Student Files is to be uploaded in to the University Electronic Records Management Software known as TRIM Context.
All new and existing staff required to use TRIM will need to attend the Student Files TRIM training session provided by RAS. Bookings can be made by contacting RAS on (03) 9905 5012 or emailing melanie.hart@adm.monash.edu.au. Alternatively you can download the application form (pdf, 47Kb)
Every student that has been entered in to Callista will have a Student File created for them within the TRIM environment. (At present RAS merge new Student Files from Callista in to TRIM on a monthly basis.) Direct requests can be made to create new files if needed by emailing StudentFiles.Clayton@adm.monash.edu.au). Alternatively you can download the application form (pdf 30Kb).
The Student File is a folder or container that consists of;
- Student ID (this is also their unique TRIM Record Number)
- Student Full Name (including all known middle names exactly as it appears in Callista)
All documents relating to a particular student are to be electronically stored “inside” their relative Student File. All final hardcopy and softcopy documents are to be uploaded on a daily basis by the designated staff member in line with a rotating roster where appropriate.
